Introducing Company-Level Credit Card Management and payment collection from the cashiering center.

We’ve introduced a new feature in our PMS that allows users to securely store credit card details at the company level. This enhancement enables streamlined payment processing for companies, reducing the need to repeatedly request card information again and again.

Problem statement :

Previously, users couldn’t store credit card details for companies, which made payment processing slow and repetitive. Each time a payment needed to be collected, users had to manually enter card information for every reservation or wait for companies to make the payment externally, then update back in the system. This process was not only time-consuming but also prone to delays. A more efficient, streamlined solution for managing company payments was essential.

What’s New?

  1. Credit Card Storage for Companies
    • Now, the hotels can securely store up to three credit cards for each company in the company database option.
    • The stored credit cards can also be verified in the PMS using the payment gateway the hotel uses.

When merging two companies, the credit card details of the master company are preserved, ensuring accurate and organized data management, while deactivated or deleted companies automatically have their stored card details removed, maintaining a high level of security and compliance.

  1. Simplified Payments in the Cashiering Center using the stored credit card of companies.

With the new feature, hotel users can charge a company’s saved credit card directly using the “Receive from City Ledger” option, making payments much easier. Instead of having to enter card details each time, hotel users can simply choose from multiple saved cards in a handy dropdown menu. This not only speeds up the payment process but also helps avoid mistakes that can happen when entering information manually. Also, this helps hotels in collecting the payments based on agreed terms between hotels and the company without much delay or relying on them to make the payments. 

Also, these payments are automatically linked to important reports like City Ledger and Credit Card Processing, which helps hotel users keep track of their finances accurately and makes managing accounts simpler.

This will be available for all the hotels using a Payment Gateway supporting the card charge functionality. 

A similar feature is available for Incidental Invoices (POS) as well. For companies that have credit card details saved, users will now have access to a credit card dropdown menu in the incidental invoice (POS) option. This feature allows users to easily select which stored card they want to use for payments, streamlining the transaction process. The benefits include faster payments, reduced errors from manual entry, and enhanced convenience, making it easier to manage expenses and point-of-sale transactions efficiently.
